Automated HR Information System Leads to Better Business Results

A personnel information system, also known as an HRM system, has become indispensable in a modern organization. Such a system tracks all employee personal data, such as absences and leave, as well as various allowances and benefits. The days when this data was processed manually and stored in a card index seem to be a thing of the past. In recent years, more and more companies and organizations have switched to an automated HRM system. Why is that? Below, we list four key benefits:

1. Less manpower is wasted on administrative red tape

Both small and large companies must keep track of a great deal of personnel information. Consider, for example, employee attendance and absences, payroll administration, and tracking overtime hours. In addition, various benefits and reimbursements for expenses must be clearly documented. Processing all of this manually not only costs a lot of time and money but also manpower. Especially in companies with limited staff, it’s a shame when a lot of time and manpower are wasted on administrative red tape. By using an automated HR information system, there’s more time for other matters.

2. The risk of errors is much lower

A lot of paperwork inevitably leads to errors. If a single digit is overlooked somewhere or if recent information is accidentally left out, the consequences can be significant. For example, paying too much or too little in salary, or (unintentionally) violating legal provisions, creates extra work to correct the mistakes made. With an automated HR information system, the risk of errors is significantly lower. Although, of course, the human factor still plays a role here as well. The system itself operates flawlessly, but ultimately there is little it can do if data is entered incorrectly.

3. An automated HR information system saves time and money

When an employee is on (long-term) sick leave, on maternity leave, or taking an extended vacation, this affects productivity. In the old-fashioned card-file system, it wasn’t easy to quickly assess those consequences. With an automated system, however, you immediately receive alerts that you need to take action. After all, you have a real-time overview of all relevant information pertaining to your staff. This allows you to identify much more quickly what measures need to be taken to compensate for this absence. In this way, you save time and money.

4. Immediate alerts from the workplace

Because an automated HRM system gives you immediate insight into what’s happening within the company and lets you know exactly what’s going on on the work floor, you can manage processes much more effectively. This also ensures, for example, that you have much greater control over scheduling and the availability of your employees. The system enables you to make the best possible use of your employees, which inevitably leads to better business results.
